Communications Committee Meeting

May 2, 2016

The Village of Riverlea Communication Committee met on the above date at 5830 Falmouth Court, Village of Riverlea, Ohio. The following members were present: Jody Jones, Renee Albert, Ryan Mehl and Josh Schoenberger. The meeting was called to order at 7:00 pm.

Minutes

Mehl moved and Albert seconded a motion to approve the minutes from the previous meeting. The motion carried (4-0).

Riverlea Information Collection Update

Jones located the document that contained the previous information for Village residents. The Committee decided to focus on the compilation of the following information from residents:

  • Name
  • Nickname
  • Address
  • Email 1
  • Email 2
  • Cell Phone 1
  • Cell Phone 2
  • Home Phone

Every resident will be permitted to make an entry.

The Committee agreed to make an initial attempt to update the resident information list by sending an email to the current roster and requesting residents provide or update their information on the website. Jones will work to set up the website to allow residents to provide or update their information. There will also be an attempt to inform residents via the Riverlea Facebook page.

Door Hangers

Albert provided an update regarding the potential use of mailers and / or door hangers. The “Hot Cards” option is less expensive if we have a resident design it for us. There was a discussion that Gordon would contact a resident (John) with experience and potential business connections to accomplish this goal. We may be able to purchase the mailers and / or door hangers from the resident’s business. Gordon will request a price of 1,000 generic door hangers. Albert provided prices through “Hot Cards” as follows

  • $203.50 for 100 door hangers
  • $215.00 for 250 door hangers
  • $260.00 for 1,000 door hangers

These prices do not include design.

Budget

The Committee decided to request an initial budget of $500 from the Village Council.

Text Communication Update

Mehl provided an update regarding getting the capacity to mass text residents. These options were discussed at length, including an option that cost $0.03 per message and using “Code Red,” a system used by Worthington. The Committee decided to pursue the option of converting the “Mayor’s Phone” to a cell phone account with unlimited texting capacity. Schoenberger agreed to work with Mehl regarding this option.

Yard Sign Update

Jones provided an update on the potential use of yard signs and spoke with resident (Greg) regarding options. Greg is happy to make the yard signs that can either direct residents to the website to provide information or notify residents about upcoming road closings. These signs cost $5 per sign. The Committee agree to wait to decide what yard signs to use.

Next Meeting Announced

The next meeting was scheduled for 7:00 pm on Monday, May 23, 2016 at 5830 Falmouth Court, Village of Riverlea, Ohio.

Mehl moved and Schoenberger seconded a motion to adjourn. The motion carried (4-0). There be no further business, the meeting was adjourned
